Privacy policy
Kiloworks is business software for electrical contractors: an office platform (Kiloworks) and a crew app for iPhone (KiloCrew). It is operated by Kilowatt Electric Company (“we”, “us”). This policy explains what information the software handles, why, and the choices you have.
Who uses Kiloworks
Kiloworks is used by contractor companies (“customer companies”) and their employees. Each customer company controls the business information it puts into Kiloworks. We process that information on its behalf to provide the service. Kiloworks is not intended for children and is not offered to anyone under 18.
Information we collect
- Account information: employee name, job title, office, username and sign-in details, and role in the company.
- Business records entered in Kiloworks or brought in from connected systems: customers and their contacts, job sites, work orders, schedules, estimates, invoices, payments, purchase orders, vendors, vendor bills, permits, inspections, equipment and similar records.
- Work activity from KiloCrew: time clocked on jobs, safety briefings, materials used, notes and photos taken on the job.
- Location: when a crew lead starts the workday, KiloCrew records the phone’s location once to confirm where the day started. The app also uses location when someone asks it to mark their position on a job map. KiloCrew does not track location in the background.
- Device information: a push-notification token so the app can send schedule alerts, plus basic technical logs (such as errors and times of requests) used to keep the service running.
QuickBooks and other connected services
A customer company can connect its QuickBooks Online company. When connected, Kiloworks reads customers, vendors, products and services, accounts, classes, invoices and their balances, and vendor bills, and it creates or updates invoices and purchase orders in QuickBooks when a user asks it to or when the company has turned that on. We use QuickBooks data only to provide these features to that company.
QuickBooks access tokens are stored encrypted at rest on our servers, are never shown to users, and are never shared. An administrator can disconnect QuickBooks at any time from Kiloworks (Admin → QuickBooks → Disconnect) or from QuickBooks itself; disconnecting revokes our access. Kiloworks may also connect, at the company’s choice, to Microsoft 365 (to send invoice and estimate emails from the company’s mailboxes) and Samsara (to show truck locations).
How we use information
- To run the service: scheduling, time tracking, invoicing, purchasing, job costing, reporting and notifications.
- To keep records accurate between Kiloworks and the company’s connected systems.
- To secure the service, prevent misuse, fix problems and support users.
We do not sell personal information, we do not use it for advertising, and we do not use a customer company’s data for any other company.
Who we share it with
Only with service providers that host or deliver parts of Kiloworks, under agreements that limit their use of the data: our database and hosting providers (Supabase, Vercel), Apple (push notifications for the iPhone app), Microsoft (email, when the company connects it), Intuit (QuickBooks, when connected) and Samsara (when connected). We may also disclose information if required by law or to protect the rights and safety of people and the service.
Security
Information is encrypted in transit. Access is limited by role inside each company: for example, pay rates are visible only to the company’s administrators, and crews see only their own work. Changes to important records are logged. Secrets such as service keys stay on our servers.
Keeping and deleting information
We keep a customer company’s information for as long as it uses Kiloworks, so its records and history stay complete. When a company stops using Kiloworks, or asks us to, we delete or return its information within 90 days, except where we must keep it longer by law. Employees can ask their company administrator to correct their information, or contact us.
Changes
If we change this policy, we will update the date above and, for significant changes, tell customer companies in the app or by email.
